Email Groups
Email Groups organizes saved email contacts into reusable recipient lists. A group normally belongs to the user who created it, while a Public Group can also be selected by other IMS users when choosing email recipients.
Group fields
| Field | Purpose |
|---|---|
| ID | IMS-generated identifier for the group. |
| Name | Name shown in the Email Groups list and recipient selector. |
| Description | Optional description of the group's purpose. |
| Is Public Group | Makes the group available to other IMS users in the email recipient selector. |
Create a group
- Open Manage → Email Groups and click New.
- Enter a unique Name for your groups.
- Optionally enter a Description.
- Enable Is Public Group only when the recipient group should be available to other IMS users.
- Click Save.
IMS requires a Group Name and prevents the current user from creating two groups with the same name.
Private and public behavior
The Email Groups maintenance screen shows groups created by the currently signed-in user. By default, a new group is private.
When Is Public Group is enabled, that group can also appear in another user's Select Contacts window. The public group is used as a reusable recipient set; selecting it expands the contacts assigned to the group.
Add contacts to a group
Group membership is maintained from Manage → Email Contacts. Open a contact, click Edit, then use the Groups + button to assign that contact to one or more groups.
Edit or delete a group
Select one of your groups and click Edit to change its Name, Description or Public status. Use Cancel to discard unsaved changes.
Click Delete to remove a group after confirmation.
Use a group when sending
In the Select Contacts window used by IMS email functions, change the filter source from Contacts to Groups. The list contains your groups plus groups marked Public. Double-click a group and IMS adds that group's contact members to the Send To list.
