VIP Customers

VIP Customers is the customer master-data screen used to create, find and maintain customer accounts used by IMS sales and financial activity. It combines identity, category, contact, financial and partner-company staff information in one record.

Open the screenManage → VIP Customers.

Find and filter customers

The customer list can be filtered before selecting a record. By default IMS shows active customers. Use All, Active or Inactive to control account status, and optionally limit the list to one customer category.

The Find area searches by ID, Name, Phone or Staff ID. The list and customer count update as the filter changes.

Customer information

Phone numberCountry Code and Mobile No. are required. IMS validates the entered phone and prevents a second VIP customer from using the same combined phone number.

Create a VIP Customer

  1. Open Manage → VIP Customers and click New.
  2. Enter a unique ID.
  3. Enter the customer's Name. Enter the Arabic name when available.
  4. Select the customer Category and confirm the account status and gender.
  5. Enter Country Code and Mobile No.. Add Address and Email if available.
  6. Set any customer Discount, Credit Limit and Account No. required by your policy.
  7. If this customer is staff of a partner or sister company, choose the Company and enter the Staff ID.
  8. Click Save. IMS validates the required fields and duplicate ID, Staff ID and phone number before creating the account.

Relationship with the loyalty customer list

When a new VIP Customer is saved, IMS checks the loyalty customer list for the same Country Code and Mobile No. If no loyalty customer exists for that phone, IMS creates a basic loyalty customer record automatically. This prevents the same new phone from needing to be entered independently in both customer lists.

Important distinctionVIP Customers and the loyalty/rewards customer profile are related but are not the same record. Loyalty registration, wallet, points and tier activity are handled by the Star Rewards modules.

Edit a customer

Select a customer and click Edit. You can update names, category, active status, contact information, financial settings and partner-company staff information. The customer ID remains read-only while editing.

Click Cancel instead of Save to discard the changes and reload the current record.

Delete a customer

IMS protects customers that already have transactional history. A VIP Customer cannot be deleted when the customer is referenced by sales transactions or cash receipts. If no such activity is found, IMS asks for confirmation before deleting the record.

Recommended practiceFor a customer with history that should no longer be used, set Is Active off rather than trying to remove the record.

Permissions

New, Edit and Delete are controlled by the IMS customer-management permission. A user without that permission can still open the screen according to menu access, but the maintenance actions are disabled.
